The ReadyPark portal keeps a timestamped record of vehicle activity on your site: a purpose-built audit trail, held under the same GDPR rules as everything else we process.

A record with a defined purpose

Every entry in your site's audit trail exists because it serves one of four legitimate purposes: safeguarding, dispute evidence, insurance, or understanding how your site is used. Nothing is retained beyond what those purposes require, and every use is governed by the same lawful basis, minimisation, and retention rules set out on our Data protection & GDPR page.

Four reasons this record matters

Safeguarding & incident investigation

If a resident goes missing, a visitor doesn't leave when expected, or an incident needs investigating, staff can confirm within seconds which vehicles were on site and when, without relying on memory or a paper sign-in book. Especially valuable in a care setting, where knowing who's present can matter urgently.

Dispute & appeals evidence

Every Parking Charge is backed by timestamped, photographic entry and exit records, so appeals are settled on evidence rather than argument. This is what makes our fair appeals process possible in practice, for driver and landowner alike.

Insurance & liability

If a vehicle is involved in a collision, damage, or an injury claim on your car park, the audit trail gives you an independent, auditable record of what happened and when: useful evidence for insurers, and for you, rather than relying on conflicting accounts.

Occupancy & visitor insight

Aggregated footfall patterns show peak times, average visit length, and how close your site runs to capacity, useful for planning staffing, visiting hours, or a capacity review, without needing to identify any individual visit.

Purpose limitation, in practice

Portal access to the audit trail is limited to what a given role needs to see, every lookup is logged, and records are deleted on the same retention schedule as the rest of our ANPR data. Nobody browses the audit trail out of curiosity. It's queried for a reason, and that reason is recorded too.
